Short answer

For early Bay Area planning, use roughly $20,000, $60,000 for an intimate, design forward event; $45,000, $150,000 for a 100 to 250 person reception, town hall or branded program; and $125,000, $350,000+ for conferences, launches or multi room productions. These are directional total event models, not Lovely Moments quotes, and venue, catering, talent and custom fabrication can move them substantially.

Directional Bay Area planning ranges

Event profileWorking rangeUsually includes
Intimate private or corporate dinner, 40 to 80 guests$20K, $60KPlanning, venue, catering, rentals, restrained design, staffing and essential sound
Reception, town hall or customer event, 100 to 250 guests$45K, $150KFull planning, venue, food and beverage, branded environment, stage/AV, crew and guest operations
Conference, launch or multi room program, 250+ guests$125K, $350K+Longer pre production, scenic/LED, cameras, rehearsals, technical crew, breakouts, capture and complex logistics

The guest count is only the first multiplier

A useful estimate needs format, hours, venue rules and production ambition, not just attendance. A seated dinner adds food, service and tabletop costs per guest. A stage program adds audio, video, lighting, rehearsal and crew. A public facing activation adds fabrication, permits, staffing, data capture and repeated operating days.

Bay Area venues can also have exclusive vendors, limited loading windows, union requirements, power constraints, parking rules or overtime policies. Ask for those conditions before creative development becomes too detailed.

Separate the management fee from total event spend

Full service planning or production fees pay for strategy, sourcing, budgeting, communication, design development and execution. They do not automatically include every third party cost. A clean proposal separates professional fees, pass through vendor estimates, taxes and service charges, contingency, and optional enhancements.

For comparison, ask every bidder to price the same scope and show assumptions. A low total with missing labor, delivery, rehearsal or venue charges is not a lower cost plan, it is an incomplete one.

Firsthand perspective

From the planning desk: the line item that changes the room

A customer event can look simple on paper until the brief adds a 25 minute stage program, multiple presenters, live camera coverage and a same day highlight edit. Those choices affect crew, rehearsal, power, screens, lighting and schedule together. Define the communication goal first; then spend on the production elements the audience actually needs to see and hear it.

Illustrative composite; final pricing requires venue, date, attendance, schedule and scope.
